Vacancy Announcements for the positions of:
1. Admin Assistants:
Organizational Context:
The Administrative Assistant will provide administrative assistance to the immediate supervisor and/or Head of the Office to ensure that routine services and activities within the administrative domain are properly implemented. Subject to the nature of the task/assignment in hand. S/he will receive regular guidance from his/her supervisor. As per specific instructions, the incumbent may require liaising with other internal or external entities, to ensure effective delivery of services and achievement of objectives. The nature of certain personnel/administrative tasks requires discretion and confidentiality as per UNHCR standards and practices. The incumbent’s workload and the assignments will remain under constant scrutiny and direction of the supervisor.
The Administrative Assistant is a position within an office/Division/Bureau that requires basic knowledge of administrative rules, procedures as well as operational standards of a UNHCR office. The nature of certain administrative/personnel functions require discretion and confidentiality.
2. First Reception Assistants:
Duties and Responsibilities:
- Support the implementation of the main purposes and goals of the First Reception Service.
- Contribute to the cooperation and coordination among all actors operating under the FRS regional structure (First Reception Centre or Mobile Unit), namely the FRS local staff, the Police, UNHCR, IOM and NGOs.
- Support related procedures to reception, registration and provision of information and assistance to PoC, as conducted by all competent services operating at the FRS Regional structure.
- Interact with the groups of new arrivals, so as to keep track of expressed needs and address them, as required, to the competent service at the Centre.
- Participate in the identification of vulnerable cases and their referral accordingly.
- Collect data and other information relevant to new arrivals and report them to the supervisor.
- Assist in the management of Core Relief Items aimed to support the beneficiaries at the Centre.
- Undertake other relevant duties as required, linked to the primary goals of the FRS.
3. Field Facilitators:
Duties and Responsibilities:
- Support related procedures to reception, registration and provision of assistance to PoC, as conducted by competent services and in accordance with UNHCR’s role.
- Assist the national actors and UNHCR site planners in the selection, planning, development or reconstruction of sites, used as temporary shelters, with a view to ensure that protection and humanitarian assistance is provided to PoC.
- Contribute to planning at the local level with regard to addressing increases or changes in incoming flows.
- Perform regular monitoring rounds of the site.
- Cooperate with competent authorities in reception sites with a view to ensuring safety and welfare of PoC.
- Interact with PoC so as to keep track of expressed needs and address them, as required, to the competent services.
- Contribute to the cooperation with all humanitarian partners and the civil society as well as with national authorities and local structures.
- Support in the identification of vulnerable cases and their referral accordingly.
- Collect data and other information relevant to new arrivals and report them to their supervisor.
- Assist in the storage and distribution of Core Relief Items to the beneficiaries at the site.
- Undertake other relevant administrative and field related duties as required.
